Ordering

While BerylMartin's highly customized tribute products require a lot of attention to detail, we strive to make our ordering process as simple and painless as possible.

  1. Browse our selection of tribute and keepsake products and choose the product you'd like to begin. We recommend starting with your largest piece, such as a printed program or booklet.
  2. From the product page, "Browse Our Designs" or use the search filter to choose your favorite design. 
  3. On the next page, select your product options (size, paper upgrades, finishing, etc.) and quantity. Click "Personalize" to proceed. (If you're not already logged in, you'll be prompted to log in or create a new account.)
  4. On the "Personalize" screen, use the Photo Uploader on the left side of the screen to upload your images and documents. Then click through the tabs on the right side of the screen to let us know where to place them, as well as any special instructions.
  5. When you have completed all the personalization details for your tribute, click "Save & Add to Cart".
  6. Enter your Loved One's Details (name and dates). We also ask you to indicate the date of any upcoming service for which your order is needed. If there is no event deadline, click "Past/No Service".
  7. Next, enter your contact information so we can reach you with your proofs and other information.
  8. On the next screen, you'll see your first product in your cart. You can choose "View Matching Products" to quickly browse other products in your chosen design, or return to browsing the top menu for additional products. If you're ready to complete your order, just click "Continue".
  9. Enter your shipping and billing information and select your preferred shipping method.
  10. On the last screen, enter your payment method and any last special instructions for your job. You must agree to the Terms of Service, then click "Order Complete".
  11. Our Customer Service department will contact you to confirm the order, and a proof will be emailed to you later in the day. This proof must be sent back quickly — either approved as is or indicating any changes — in order to ship the same night.
  12. Your personalized tribute will be shipped and delivered to your selected location.

Our full-service art and graphic design staff can accommodate almost any special graphics request. Please include as much detail as possible in the "Special Instructions" tab when you are personalizing your tribute. If more explanation is needed, or if you have specific questions, please do not hesitate to contact Customer Service for assistance.

We are happy to customize our design offerings in any way you prefer. Elements of an existing design can always be removed at no additional charge. Development time for custom design is charged by the hour. Please note that any modifications to our standard designs (including color changes) will add an extra day to turnaround time. We strongly recommend that you send your Customer Service representative a reference image or images to show us what you have in mind.

Shipping

Ordering Cutoff Times:         

  • Monday through Friday: If all components of the order (i.e. photographs and text) are received at BerylMartin by 12 noon your local time, and proofs are approved for press no later than 5:00pm Central time, the order will ship that evening. Orders placed or approved after the cutoff time will ship the next business day.
  • Saturday shipments required for a Monday service: If all components of the order (i.e. photographs and text) are received at BerylMartin by 2:00pm your local time on Friday, and proofs are returned on Saturday morning by 10:00am Central time, the order will ship Saturday afternoon. Orders placed or approved after the cutoff time will ship on Monday (or the next business day after a Monday holiday).

We work hard to make sure all of our customers are satisfied. If you are past the order deadline, but still need an order rushed out, we may still be able to accommodate your needs. 

For orders placed or confirmed AFTER the day's cutoff time, same-day production for qualifying items may still be available at the discretion of our Customer Service team. A "Super Service" rush charge will apply. See our Price Guide for details on Super Service charges by item.

Your shipping costs come straight from UPS. We always recommend that you submit your order as far in advance as possible, so that you have the option to select cheaper shipping methods. We understand that our customers are usually working within a tight window at a very difficult time; however, placing your order just one day earlier can save you over 50% in shipping costs.

There are cases where we can consolidate your shipments to reduce your shipping charges. When this is the case, we will credit you the shipping amount saved.

Proofing

BerylMartin is dedicated to creating the perfect tribute for your loved one. The proofing process helps us ensure that you receive a final tribute free of errors and mistakes. We offer the option to waive the proof; however, unless time is absolutely critical, we strongly recommend that you receive and quickly review the proof. If you don't have time to proofread today, will you have time to rush out a reorder with corrections tomorrow?

Here are some key things to look for when proofing:

  • Name of the deceased is spelled correctly, including any nicknames.
  • Dates of birth and passing are correct everywhere they appear. Make sure the dates on the cover match the dates given in the obituary.
  • Names and numbers of loved ones are correct, e.g., "six grandchildren" but only five names are listed.
  • Any special requests (such as specific photo placements) have been carried out the way you want them.
  • If you are receiving an art proof (with the photos and backgrounds in place), check that the design selection is what you intended.

If you have a change to your order details, such as the quantity, product selection, design selection, shipping method or shipping date, please do NOT include this information in your proof comments. Contact our Customer Service team directly to help us serve you quickly and accurately.

We work hard to get your fully personalized tribute in and out the door in a short time window - sometimes as little as 4 hours. The reason we have such a tight 30-minute return deadline is to ensure that your order can get printed and shipped the same day. If we do not receive your proof approval within the allotted time, we will still work diligently to try to ship it the same day, but we can no longer guarantee it. 

Orders which do not receive final approval for press by our closing time of 5:30pm CT (1:00pm CT on Saturdays) will ship the following business day. Orders returning proofs after closing time will incur an After Hours Charge to carry out same-day production, if available.

Scanning

We accept images in most common graphics formats: jpg, jpeg, png, gif, pdf, and more. NOTE: We have been experiencing technical issues with .heic files uploaded via the website. If you have photo assets in .heic format (typically saved on an iPhone or iPad), please email them to wecare@berylmartin.com so we can verify the file content.

The maximum upload size is 10 MB per file.

The MINIMUM recommended size is 100 KB per image (about 200 by 300 pixels). For your cover image, we strongly recommend a minimum of 1 MB (about 600 x 900 pixels), especially for larger tributes such as a portrait or banner. Remember, the better the quality and the higher the resolution of your images, the more we’ll have to work with and the more beautiful your tribute will be. 

The photographs you provide make all the difference when creating your tribute. If you have printed photographs you would like to include, the best way to digitize them is with a flatbed scanner. If you don't have a scanner at home, most office supply and copy shops will scan your photos for a modest fee. Here are some scanning tips:

  • We recommend you scan your photographs at a minimum DPI setting of 600.
  • If you are ordering larger format tributes, such as memorial portraits, personal panels, memorial banners, or any of our photo keepsakes, we recommend a minimum DPI setting of 1200.
  • You can easily change your DPI setting on your scanner either through the scanner menu or as an option before you scan.
  • If you are dealing with small photographs (smaller than 2” by 4”), we recommend you increase the size setting on your scanner to 200% and scan at maximum allowable DPI. This is usually done through the scanner menu or as an option before you scan.

The main thing to keep in mind: the better the quality and higher the DPI/resolution of the images you provide, the more beautiful your tribute will be.

You can upload photos directly from your phone into our website as part of the tribute personalization process. You can also email photos to us from your phone as attachments, or send us a link to an online photo album such as Google Photos.

If you have physical (printed) photos and can’t get access to a scanner, you may have to take a photo of a photo with your phone. Please try to follow these guidelines:

  • Take separate shots of one photo at a time. This gives you the largest possible image size and helps us keep your tribute photos organized. Don’t try to include a whole photo gallery in a single shot.
  • Take the picture straight on, not at an angle.
  • Try to minimize glare on the photo if it’s framed or glossy. If possible, remove photos from their frames before photographing. Dim lighting can be better than bright lighting to reduce glare.

DON’T screenshot a photo sent to you by a family member. Especially if it’s from your text messages or Facebook, it will likely be too small to produce good quality. Please download the original photo file to email to us, or have the family member send it to us directly at wecare@berylmartin.com.

In the end, any photo is better than no photo. When in doubt, send us whatever you can get, and our art staff will do their best to turn it into a tribute you can cherish forever.

HOLIDAY HOURS: BerylMartin will be closed in observance of Memorial Day on Monday, May 27, 2024. No packages will be delivered on Monday due to the holiday. Orders may be placed until noon on Friday 5/24 for Saturday delivery on 5/25 at an additional shipping charge. Orders must be placed by 2:00pm on Friday 5/24 for Saturday production on 5/25 and next day air delivery on Tuesday 5/28.
